Overview

Many neighborhood clinics still rely on paper tokens and manual queue management. Patients often wait for hours without knowing their position in the queue, while receptionists manually handle token assignment and patient flow. This creates confusion, delays, and poor patient experience. The goal was to build a digital queue management system that provides live queue visibility, accurate wait-time estimation, and a faster workflow for clinic staff. Process I began by understanding the workflow of small clinics and identifying the key pain points faced by patients and receptionists. The main requirements were quick token generation, real-time queue updates, and dynamic wait-time estimation. I designed the solution around three core interfaces: a Reception Dashboard for staff, a Patient Waiting Room for live tracking, and a TV Display for waiting areas. The first version focused on token generation and queue tracking. Later iterations added QR-code-based access, emergency patient priority, analytics, and live synchronization across screens. The interface was refined multiple times to improve usability, readability, and responsiveness. I also focused on creating a modern healthcare-themed design that feels professional and easy to use. Results ClinicFlow Live successfully digitizes clinic queue management. Receptionists can issue tokens in under 10 seconds, while patients can track their queue position and estimated wait time in real time. The system includes QR-code tracking, emergency prioritization, analytics, and a TV display mode. Live synchronization ensures that all screens update instantly, improving transparency, reducing uncertainty, and creating a better patient experience. Reflection With more time, I would add WhatsApp and SMS notifications, multi-doctor support, appointment booking, and AI-based wait-time prediction. I would also conduct usability testing with real clinic staff and patients to gather feedback and further improve the workflow. Additionally, cloud reporting and advanced analytics could help clinics optimize operations over time.
